Palace On Wheels Reservation Policy

Circular 

Booking and Reservation for Palace on Wheels with effect from season 2007-08 will hence forth be governed as under: -
1. Sales Promotion Partner (SPP)
Sales promotion Partners will be appointed for country specific potential who has to enter into a Memorandum of understanding (MOU) with RTDC. The existing GSA will be renamed as Sales Promotion Partners after entering into an Memorandum of understanding (MOU).

2.Other sources of bookings
Travel Agents, Tour Operators, Direct Marketing Agents from India and abroad or any organized agency/institution related to travel trade will also be eligible for booking upon satisfying RTDC with their credentials.

3. SEAT ALLOCATION:
(A) For Sales Promotion Partner (SPP)
50% of the available capacity of the train but not more than 28 cabins in each tour will be booked by SPP on first cum first basis.           

(B) For other source of booking
 40% of the available capacity of the train but not more than 18 cabins in each tour will be booked by other source of booking on first cum first basis.   

(C) For Internet booking
10% of the available capacity of the train but not more than 8 cabins for each tour will be booked through internet on first cum first basis.

(D) RTDC reserves the right to change the ratio of seats allocation for Bookings to any of the category of source of booking as mentioned at S. No. 3 (a), (b) & (c) above. However, there will not be upward change at S.N.3(a).

4.BOOKING PROCEDURE
Sales Promotion Partners and other source of bookings will have to send written request for bookings and for confirmation thereof as follows: -

(i)50% of ticket value at the time of confirming the booking.

(ii) Remaining 50% of ticket value 60 days prior to departure.

 5.CANCELLATION

(a) In case of FITs

(i) 5% of ticket value 60 days prior to departure.

(ii) 20% of ticket value 30-59 days prior to departure.

(iii) 100% of ticket value between less than 30 days prior to departure.

(b) In case of Group and Charter

(i) 10% of ticket value 60 days prior to departure.

(ii)100% of ticket value between 0 to 59 days prior to departure.

 NOTE: A group of 15 paying persons will be called as group booking  

6. COMMISSION ON BOOKINGS
a. For Sales Promotion Partners (SPPs)15% commission will be admissible to SPP on each booking which can be deducted at the time of booking. Incase of actuated bookings in a season by SPP exceeds 49 seats, an additional commission of 2 % on all the bookings in the season will be admissible at the end of season.

b.  For other source of bookings:
(i)  12% commission will be admissible to other sources of booking on each booking which can be deducted at the time of booking. Incase of actual booking in a season exceeds 39 seats, an additional commission of 3 % on all the bookings in the season will be admissible at the end of season.

(ii) 15% commission can be admissible to any source of booking in case of special commercial run, special promotion depending on particular source market potential, introductory offers and similar focused sales promotions as and when declared by RTDC.

c. For Charter bookings:
(i)Charter means booking of 52 cabins on a particular tour departure.

(ii) In case of charter booking by SPP or any other source of booking 1% additional commission will be admissible at the end of the season.

 (iii) The charter can be booked on the existing Palace on Wheels tour itinerary.

However Diversion (outside the Rajasthan State) in the approved itinerary can be permissible after prior approval of Indian Railway for which an extra payment of the 20% of the charter value will be charged.

(iv) No charter can be booked during X-Mas & New Year period.

7. Procedure for confirmed Bookings:

(a) First priority will be given to the confirmed bookings for full 7 nights tour. In case of FIT, the guest details will have to be submitted at the time of booking. Whereas, in case of group booking, the details of the travelers will have to be provided at least 60 days prior to the departure date. Any change in the details shall be treated as cancellation and would invite cancellation charges as applicable.

(b) Part journey of minimum four nights shall be considered only 180 days prior to the departure date.

(c) Once the names of the guests have been received, there shall be no substitution permitted. The old name, if removed shall be treated as cancelled booking (subject to cancellation charges as applicable) and the new name/s will be treated as fresh booking and will be confirmed keeping in view the waitlisted bookings.

 8. Provisional Bookings
Provisional booking is a request for booking which is to be held only up to 30 days and if not followed by advance payment the same shall be treated as cancelled automatically after the due date. In case of group booking, a provisional booking can only be held up to 60 days. However the booking procedure at S.No. 4 would apply in any case.

9.On Line Booking
8 cabins or 16 seats per trip can be made available for on-line booking for which full payment shall be charged through credit card. No commission is admissible on bookings through internet.

10. Status of booking/availability of seats
The booking/availability status of seats will also be available on web page of the Palace on Wheels website.

11. No show/En route termination of tour/amendment:
(a) No Show: In case of No Show / Non-arrival of the guest no refund/ adjustment in future travel will be admissible.

(b) En route termination of tour: In case of termination of tour by the guest, no refund/adjustment for future travel will be admissible.

(c) Amendment: No charges will be levied for amended dates of tour of Palace on Wheels and amendment will be permitted once only subject to availability.

12.Complimentary Seats:

(i) In a group of 15 paid persons, one complimentary seat shall be provided to the tour leader

(i) In case of a charter of 52 cabins, six complimentary seats shall be provided.

13. The provisions of this circular will apply on all the reservations made so far as well as on the fresh booking as per S.N. 4 and 5.
